Sponsorship Terms and Conditions

1. Allocation of sponsorships and exhibition space

Sponsorships, trade exhibition booths and outdoor machinery expo sites are offered subject to availability and approval by AMS. Submission of an

online expression of interest, booking form or application does not guarantee allocation. Opportunities will generally be considered in order of receipt and investment level; however, AMS reserves the right to determine the final allocation of sponsorships, exhibition booths and machinery sites in the best interests of the event.

2. Confirmation of booking

A sponsorship, exhibition booth or machinery site is only confirmed once AMS/Iceberg Events has issued written confirmation, the Sponsor Agreement Form is returned and the required payment has been received by Iceberg Events by the due date stated on the invoice.

3. Cancellations

Requests for cancellation must be submitted in writing to Iceberg Events. If AMS/Iceberg Events agrees to the cancellation, the following terms will apply:

  • more than 2 months before the event - 50% of the contracted fee will be retained
  • within 2 months of the event - 100% of the contracted fee will be retained

4. Event changes or postponement

AMS reserves the right to alter the program, venue layout, exhibition floorplan, machinery expo format, dates or timings of the event if required due to circumstances beyond its reasonable control or where necessary for the successful delivery of the event. If the event is postponed and a sponsor, exhibitor or machinery participant is unable to attend on the revised dates, AMS will provide a full refund of monies paid for that booking.

5. Approval of participants

AMS reserves the right to accept or decline any application for sponsorship, exhibition or machinery expo participation at its discretion, including where AMS considers an organisation, product, service or display not to be aligned with the event, the industry or the interests of delegates.

6. Artwork, branding and content

Sponsors and exhibitors are responsible for supplying logos, artwork, advertisements, digital assets and other required materials by the deadlines advised by AMS. AMS is not responsible for missed inclusions where material is supplied late.

7. Exhibition and machinery display requirements

Exhibitors and machinery participants must comply with all bump-in, bump-out, safety, insurance, venue and operational requirements advised by AMS and its event contractors. AMS reserves the right to require the modification or removal of any display, activation or demonstration that does not meet event requirements.
